Q: What is the hosting fee for a Southeast Region tournament and are there any Southeast Region revenue streams other than souvenirs and concessions?

The hosting fee for a Southeast Region (SER) tournament age group is $3,000 and is governed by SER Policy 20191002.

The Southeast Region uses a Parents and Fans Gate Pass program. The parents of each team provide a $500 all-tournament games entry fee at the time of check-in. This program is governed by SER Policy 20191004. Other revenue sources are the responsibility of the host. 


Q: What are the field dimension and amenities requirements?

The goal is to promote hosting. The Southeast Region is flexible when it comes to awarding tournaments to Host leagues where the fields may not exactly meet the minimum preferred requirements. It is important that any questions or issues with regard to these requirements be discussed with the applicant's State Commissioner who is responsible for endorsing its request. The minimum Southeast Region PREFERRED requirements are:

  • A tournament-grade ball field (NOTE: A second field is required if nine or more teams are being hosted.)
  • Outfield fence 200 feet (foul pole to foul pole) from home plate for all softball age groups
  • Outfield fence 200 feet (foul pole to foul pole) from home plate for Rookie and Minors baseball (60-foot bases; Rookie, 9-Year-olds, and 10-Year-olds)
  • Outfield fence 225 feet (foul pole to foul pole) from home plate for Majors baseball (70-foot bases; 11-Year-olds and 12-Year-olds)
  • Foul poles 280 feet from home plate and center field fence 350 feet from home plate for Babe Ruth baseball (90-foot bases; 13-Year-olds, 14-Year-olds, 13-16 Year-olds, and 16-18 Year-olds)
  • Skinned infield and no mound for softball
  • Grass infield and dirt mound for baseball (or a Babe Ruth-approved portable pitching mound)
  • Covered dugouts
  • Electronic scoreboard
  • Enclosed, air-conditioned, press box
  • Internet connectivity
  • Public address system
  • Field lights

Q: What are the location accessibility and amenity requirements?

The host location should be within a 30-minute drive from the closest Interstate highway. Several franchise branded hotels and restaurants, and hospital medical facilities, should be within a few minutes of the complex.

Americans with Disabilities Act

Public and private facilities that provide an “accommodation” to the public are required to meet certain Americans with Disabilities Act (ADA) regulations. In most cases, the facilities that are used for Babe Ruth tournaments are owned by local government and meet these requirements. However, the little things can make a big difference in the success of a tournament. For example, provide transportation (a golf cart) between the playing fields and the parking lots; provide walkway access to the fields and concessions; ensure that the bathrooms are cleared of clutter for ease of access for wheelchairs, walkers, and other devices; and reserve an area at the playing fields for fans in wheelchairs. These are all items that are under the direct control of the Host. And, a reasonable effort to provide such accommodations is required by the ADA.


Q: Can a potential Host apply to host more than one age group?

Yes. The applicant can submit a separate application for each age group.  However, the potential Host must prioritize the age group selection, e.g., Priority 1; Priority 2; Priority 3.  So, if the first priority has been awarded to another league, then the other two priorities will still be in the decisionmaking queue.


Q: How many teams participate in the tournament?

In the Southeast Region, World Series trail brackets typically consist of eight teams, the Host and the State Champions. Southeast Region invitational brackets can consist of up to 16 teams, including the Host, the State Champions, and the State first Runners-up.


Q: What type of first aid is required to be available at the field?

At a minimum, the host must have a complete first aid kit; it is always a good idea to have someone who is qualified to administer first aid, like a nurse and (or) a trainer on site. Immediate access to emergency services must be available in the event of more-serious injuries.


Q: What type of baseballs and softballs are required?

The current version of the Babe Ruth League, Inc., Rules & Regulations and Offcial Playing Rules book specifies the tournament-grade baseballs and tournament-grade softballs to be used for all tournaments.


Q: Does the host have to pay hotel expenses for the assigned Southeast Region Representative and the umpires?

Yes. The host is required to pay for the hotel room of the Southeast Region Representative and for one room for each two umpires who are not local. The Southeast Region Representative and the umpires (when off-site) are responsible for their meals and other expenses.


Q: Can the Host Tournament Director also manage the Host team?

No. The Host team manager cannot be the Host Tournament Director. This is considered a conflict of interest.


Q: Who creates the schedule (game dates, times, and, if applicable, fields) for the tournament?

The Southeast Region tournament schedule will be created by the Southeast Region Commissioner or an Assistant Regional Commissioner and will be reviewed by the Host for recommendations regarding playing times and field(s).


Q: Do we have to have an icebreaker (banquet or picnic)?

Yes. With the exception of the 16-18 Year-olds age group, this is a requirement for the Host.


Q: Do we have to have an opening ceremony?

Yes. The Host is required to present an opening ceremony, preferred on the night of check-in.


Q: Do we have to publish a program book?

No. The decision of whether or not to publish a program book is up to the Host.


Q: What type of souvenirs can be sold?

Anything that is appropriate for the youth and not offensive can be sold. Items such as t-shirts with the team names (or players’ names) and program books are always the best sellers.


Q: Can we use our local umpires?

Local umpires will be used when deemed necessary by the Southeast Region Commissioner. They must be Babe Ruth League, Inc. National Umpire Association (NUA) members. (The assigned Crew Chief must register his or her crew with the Southeast Region Commissioner (or designee) prior to officiating.)


Q: How does the Host provide information to each State winner?

It is not necessary for the Host to contact each State winner. The Host is required to provide all necessary information to the Assistant Regional Commissioner, Operations, via the MTIP Questionnaire, who will put together the Manager’s Tournament Information Package (MTIP). The MTIP is posted on the Southeast Region website so that the State Commissioner can print and provide a copy and the web link to their team as soon as they win the State tournament.


Q: How does the Host know which teams will participate?

The State champion teams (and the Host teams) are required to register via the online Tournament Team Registration System within 24 hours of the completion of the State tournament. The team registration is an online, real-time database where the Host can access the team details information.


Q: Who is responsible for the hotel rooms for the teams?

Each traveling team is responsible for its own hotel reservations and rooms. The Host is responsible for submitting a list of local hotels and contact telephone information to the Assistant Regional Commissioner, Operations, to be included in the Manager’s Tournament Information Package (MTIP). Keep in mind that, by contract, the Host is responsible to provide, at no cost, one hotel room for each set of (two) non-local umpires and a hotel room for the Southeast Region Representative.
